Job Description: The Contract Administrator facilitates the smooth operation of the Legal Departments contract management functions by professionally supporting the contract approval process, the contract-backed requisition process, and both DocuSign and manual signature processes. In addition, this role provides customer-facing support for questions relating to the contract management process, involving providing skilled assistance in locating and interpreting records in the Contract Lifecycle Management system (CLM, also known as a Contract Management System or CMS).

Responsibilities:
  • Actively monitoring and acting upon financial system approvals (in the future, these duties may take new forms of searching, validating, and otherwise having expertise in the financial systems)
  • Promptly and accurately managing the DocuSign process through the Agiloft-DocuSign integration (includes managing requests, placing tags, sending items out through DocuSign, and successfully resolving refusals, rejections, rerouting, etc.)
  • Working with expertise within the CLM, including searching for contracts through multiple methods, accurately profiling records and/or revising record profiles to meet written data standards, all in accordance with current written Standard Operating Procedures
  • Professionally managing customer questions, data updates, and other requests for assistance through verbal, written, oral, and video communications
  • Managing inquiries that arrive through the Legal Operations ticketing tool, with a special emphasis on approvals, financial approvals, and DocuSign in the CLM
Qualifications:
  • Must have database work experience
  • Familiarity with contracts and related legal terminology highly desirable
  • Experience with Coupa or other purchase requisition/purchase order approval tools highly desirable
  • Experience with Contract Lifecycle Management Systems, Contract Management Systems, or other relational databases preferred, experience with Agiloft highly desirable
  • Experience with DocuSign desirable
  • Superior computer skills required
  • Excellent communication skills, both written and oral
  • Strong customer service orientation
  • Ability to problem solve
  • Initiative to ask questions when information is needed, and to follow through on projects (stick-to-it-ness)
  • Interest in learning new things, especially in the bio-pharmaceutical industry
